2. What Personal Data We Collect

Depending on your relationship with us, we may collect:

From prospective and current tenants:

  • Full name, date of birth, contact details (address, phone, email)
  • Right-to-rent documentation (passport, visa, or other ID as required by law)
  • Referencing and affordability information (employer details, income, previous landlord references, credit-check results where obtained via a referencing agency)
  • Bank details, for rent payment and deposit refund purposes
  • Tenancy agreement details and correspondence history
  • Details you provide when reporting a repair, making a complaint, or otherwise contacting us

From website visitors:

  • Information submitted via our contact form (name, email, message content)
  • Standard technical/analytics data collected automatically when you browse the site (see Cookies, below)

3. How We Collect It

Directly from you — via our tenancy application process, correspondence, our website’s contact form, phone, and in-person conversations — and, where relevant, from third parties such as referencing agencies or your previous landlord (with your knowledge as part of the standard referencing process).

4. Why We Use It, and Our Legal Basis

5. Who We Share Your Data With

We only share personal data where necessary, and never sell it. This may include:

  • The Tenancy Deposit Scheme (TDS) — your deposit is protected with TDS as required by law
  • Referencing agencies, when assessing a tenancy application
  • Tradespeople and contractors, where necessary to carry out repairs or maintenance you’ve reported
  • Our IT/hosting providers, who process data on our behalf under standard hosting arrangements
  • Local authorities or regulators, where we are legally required to disclose information
  • Industry bodies we belong to (NRLA, the Guild of Residential Landlords), only where membership requires it

We do not currently use a third-party Client Money Protection (CMP) scheme, as MieProperties does not hold client money on behalf of others in a way that requires one.

6. How Long We Keep Your Data

We keep tenancy-related data for the duration of your tenancy and for a reasonable period afterward (typically up to six years) to meet our legal, accounting, and insurance obligations. Complaints records are kept for at least six years, per our Complaints Policy. Website contact-form enquiries that don’t lead to a tenancy are deleted after a reasonable period if no longer needed.

7. Your Rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you
  • Have inaccurate data corrected
  • Request erasure, where applicable
  • Restrict or object to certain processing
  • Data portability, where applicable
  • Withdraw consent at any time, where processing is based on consent

9. Data Security and Breaches

We take reasonable technical and organisational measures to protect your personal data. In the event we identify a personal-data breach that poses a risk to your rights and freedoms, we will assess it promptly and, where required by law, notify the ICO within 72 hours and inform affected individuals without undue delay.

We may update this policy from time to time. The current version will always be available on our website, dated below.
